KPME troubleshooting
Most KPME delays come from a handful of avoidable mistakes. Find yours and fix it.
- Clinics, labs, dental and hospitals
- All districts of Karnataka
- Portal filing, documents and inspection support
A KPME application rarely fails because a facility cannot be registered. It fails because something on the form does not match the documents or the premises. These are the reasons we see most often when establishments come to us after a rejection, a return or months of pending status.
Application stage
| # | Reason | Fix |
|---|---|---|
| 1 | Wrong category (for example consultation-only while running a lab or X-ray) | Choose the category for every service you actually run; pay the difference. |
| 2 | Uploads rejected for size | PDFs up to 500 KB, owner photo up to 25 KB. |
| 3 | Doctor’s council number or name mismatch | Match exactly with the KMC, KSDC, KAUP or KBHSM certificate. |
| 4 | Expired fire, pollution or council certificates | Renew first, then upload with the correct expiry date. |
| 5 | Unclear ownership or rent papers | Upload a registered rent agreement or ownership document matching the address. |
| 6 | Specialities not backed by qualified doctors | Declare only specialities your doctors are qualified and registered for. |
| 7 | Schedule of charges missing or vague | List consultation, procedure, test and room charges clearly. |
Inspection stage
| # | Reason | Fix |
|---|---|---|
| 8 | Premises different from the floor plan | Update the plan to the actual layout before inspection. |
| 9 | Declared staff not present or not qualified | Have declared doctors and staff available; keep certificates on site. |
| 10 | No biomedical waste arrangement | Sign up with an authorised common treatment facility and use colour-coded bins. |
| 11 | No KPME board, charges or grievance details displayed | Install the board and display charges and the grievance contact. |
| 12 | Equipment or emergency kit missing for the category | Match equipment to your declared services. |
Use our KPME inspection checklist a week before the visit.
If your application is stuck pending
- Check the status in your login: pending payment, pending inspection or pending approval each need a different action.
- Under the 2026 amendment, a provisional certificate is due within 10 days of a complete application and permanent registration within 90 days. If these have passed, follow up with the district Registration and Grievance Redressal Authority in writing.
- Do not create a second application for the same premises; it causes duplicate records.
If it was rejected
Read the remarks, fix every point, and re-apply or respond as the portal allows. Keep evidence of each fix (photos, renewed certificates). Never continue seeing patients without at least a provisional registration.
